The Studio Finance Manager oversees the financial lifecycle of interior design projects, including procurement reconciliation, invoicing, GL/AP/AR, and project profitability analysis.
Responsibilities
- FF&E Tracking: Manage the end-to-end procurement finance workflow within Studio Designer, ensuring client proposals, purchase orders, and supplier invoices align.
- Vendor Reconciliation: Match vendor invoices to original POs, freight costs, and tracking sheets to resolve discrepancies prior to final payment.
- Retainer Management: Track, record, and apply client deposits, retainers, and progress payments to the appropriate project milestones.
- Sales Tax Administration: Oversee sales tax compliance, calculation, and reconciliation for multi-jurisdiction product deliveries and installations.
- Time Audit & Analysis: Review weekly design team timesheets in BigTime, distinguishing billable from non-billable hours.
- Labor Budget Monitoring: Monitor project burn rates and compare actual hours against initial design fees and phase budgets.
- Client Invoicing: Prepare and issue accurate invoices via BigTime based on hourly rates, flat fees, reimbursables, or milestones.
- Resource Forecasting: Produce reports on team capacity, utilization, and projected labor needs to support scheduling.
- Financial Syncing: Ensure precise data mapping between Studio Designer, BigTime, and QuickBooks.
- AP/AR Management: Own the full accounts payable and receivable lifecycle to ensure timely vendor disbursements and cash flow.
- Ledger Reconciliation: Perform monthly reconciliations of bank and credit card accounts for project and studio operations.
- Profitability Reporting: Analyze project margins for both hourly design fees and product procurement markups.
- Variance Alerts: Identify potential budget overruns in labor or FF&E and provide early alerts to Principal Designers.
- Month-End Review: Participate in monthly Work-in-Progress reviews to support accurate revenue recognition.
Requirements
- Experience: 3+ years in project accounting, bookkeeping, or corporate finance; experience in interior design, architecture, or creative agencies is highly preferred.
- Software Expertise: Proficiency with Studio Designer, BigTime, and QuickBooks is a major advantage.
- Skills: Advanced Excel, strong variance analysis, and a solid understanding of double-entry bookkeeping.
- Traits: Highly organized, effective communicator with vendors and team, and able to pivot between routine data entry and strategic activities.

We are seeking a detail-oriented, analytical Studio Finance Manager to steward the financial lifecycle of interior design projects. The role blends precise bookkeeping with strategic project analysis, overseeing procurement reconciliation, resource monitoring, and coordination of accounts payable and accounts receivable.
Work Location
This position is onsite in Essex Junction, VT.
Compensation
USD 65,000.00 – 75,000.00 per year.
