Job Description
Hybrid role in Los Angeles with UCLA’s Center X, focused on advanced financial analysis, compliance monitoring, and research funding support. The position offers a career staff appointment with a full-time schedule and competitive pay, with a salary range of $78,500 to $163,600 per year (anticipated hiring pay scale: $78,500 to $105,000 per year). Continued employment is contingent on successful completion of a satisfactory background investigation, and the role includes 5% domestic travel. Coverage is under CX-Clerical & Allied Services, and the schedule is 8:00am to 5:00pm.
What you’ll do
Reporting to the Director Business Administration (DBA), the Senior Financial Manager for Center X provides advanced financial analysis, compliance monitoring, and accounting across federal, state, private contract/grant, and 19900-type funding. The role also leads preparation and submission of extramurally funded research proposals, while managing monthly financial reporting, budget reconciliation, and long-range financial planning.
- Independently deliver advanced financial analysis, compliance monitoring, and accounting for Center X funding sources, including 19900-type funding.
- In collaboration with the DBA, lead preparation and submission of new or renewal extramurally funded research proposals and budgets.
- Serve as a key interface on critical contract and grant issues with the Ed&IS fund manager, Office of Contract & Grant Administration (OCGA), Extramural Fund Management, and relevant granting agencies.
- Review S&S proposals; act as liaison with UCLA Insurance and Risk Management (IRM); prepare contracts; submit invoices; track payments; and prepare OH transfer for campus.
- Prepare monthly financial management reports with clear, concise, and accurate financial data.
- Oversee reconciliation of expenditures against budgets for project directors, Center X leadership, and other key personnel.
- Support long-range financial planning by analyzing historical data and future projections and providing recommendations.
What you bring
- 3-5 years of accounting or related financial experience (required).
- Working knowledge of accounting principles and computerized purchasing and accounts payable systems in a large university setting (required).
- Experience in accounting and business practices to advise MSO on financial, contract and grant, and administrative issues (required).
- Ability to create financial reports for trend analysis, forecasts, set cost recovery rates, and development of rate justifications using historical data; accuracy and responsibility with detailed information (required).
- Knowledge of contract and grant administration to understand the proposal process, prepare associated proposal forms, and coordinate submissions with university offices (required).
- Ability to prepare budgets for extramural funds according to university and funding agency guidelines and policies (required).
- Ability to manage multiple project budgets using advanced financial and accounting skills; work independently, meet fixed deadlines, follow tasks through to completion, and prioritize effectively (required).
- Strong word processing skills to prepare forms, correspondence, procedure manuals, and reports with speed and accuracy, including independent composition, editing, and copyediting with correct grammar, syntax, spelling, and punctuation (required).
- Excellent interpersonal and communication skills to explain financial information verbally and in writing to non-financial staff; ability to identify opportunities to improve efficiencies and propose modifications (required).
- Discretion handling confidential and sensitive information while maintaining professional relationships with sponsors, industry, government, UC, and other academic and corporate institutions (required).
- Ability to work as part of a team, accept delegated work, validate expectations, problem-solve obstacles, and follow up to completion or provide status updates; willingness to assist administrative support staff with clerical and administrative tasks as needed (required).
- Demonstrated ability to supervise administrative support staff, including interviewing and selection, training, assignment review, feedback, priority setting, performance evaluation, and discipline administration (required).
- Advanced working knowledge of Excel and FileMaker Pro on Macintosh and PC; general knowledge of Word and PowerPoint (required).
