Job Description

This temporary role, FLEX Manager, Finance Business Support, supports contract processing, accounts payable and expense tracking, budgeting, and financial reporting for Marriott meetings and events, collaborating with event leaders and Finance Business Partners.

Responsibilities

  • Serve as the primary point of contact for contract submissions, ensuring timely execution of event contracts and facilitating questions between the contract team and event leaders.
  • Ensure all executed contracts are filed in the correct event folder on the shared drive.
  • Identify contract issues and risks; consult with Finance and internal subject matter experts (Legal, Risk Management, Security, Privacy) and incorporate feedback into contracts as needed.
  • Maintain the department contract tracker to reflect routing and executed contracts.
  • Prepare concise summaries of contract details for Senior Leadership.
  • Generate accurate and timely status reports and presentations as required.
  • Act as an escalation point for any billing issues or disputes.
  • Provide backup support for Accounts Payable and Expense Tracking, including:
    • Invoice processing and expense tracking for event programs and initiatives.
    • Collaborate with Finance Business Partners to ensure month-end and year-end accruals and prepaids are properly recorded.
    • Track actual costs versus approved estimates; follow up on variances and resolve discrepancies.
    • Review event activity to ensure invoices are processed correctly and ledger activity is accurately reflected.
    • Review event budgets, forecasts, actuals, and aging reports monthly in partnership with Finance to ensure invoices align with contract terms.
  • Work independently to keep payment processing aligned with business demands.
  • Set up new vendors as needed, ensuring timely receipt of documentation and accurate processing.
  • Triage invoice and payment status with Marriott Business Services, Finance, and external partners/vendors as needed.
  • Coordinate with Sponsorship Senior Manager on distribution of partner invoices.
  • Follow up on sponsorship payments through lock box, ACH billing, and USPS deliveries.
  • Process all post event bill outs to ensure attendee fee collection.
  • Follow up on rejected submissions and confirm receipt of all payments.
  • Be accountable for event results in collaboration with event and brand leaders.
  • Clearly communicate expectations to team members and stakeholders.
  • Resolve event issues and address problems throughout the event lifecycle, escalating as required.
  • Track and report on event budgets and risks, providing status updates to stakeholders.
  • Maintain timely communication with supervisors, colleagues, and subordinates by phone, written form, e-mail, or in person.
  • Attend relevant meetings and present ideas in a concise, organized manner.
  • Apply problem-solving methodologies for decision making and follow-up.
  • Maintain positive working relations with internal customers and department managers.
  • Manage time effectively and conduct activities in an organized manner.
  • Perform other reasonable duties as assigned by the Event Leader, including special projects and ad hoc information requests related to other meetings and events.
  • Use Microsoft Office and other relevant tools to present event information.

Requirements

  • An associate degree with four years of experience in finance, business, or a related professional area, or a bachelor’s degree (preferably in finance, business, or management) with two years of relevant experience.
  • Proficiency in Microsoft Office.

Employees will accrue paid sick leave, 0.03334 PTO balance for every hour worked, and are eligible for a minimum of four holidays annually.

Hybrid Work Environment

Marriott HQ supports a hybrid work arrangement. Headquarters-based positions are considered hybrid for candidates within commuting distance to Bethesda, MD. Candidates outside commuting distance may be considered for remote roles.
