Job Description
Ultimus Fund Solutions seeks an Assistant Manager, Financial Administration for onsite work in Milwaukee, WI supporting Retail Alternatives.
Responsibilities
- Prepare complex fund financial statements and regulatory forms, including Forms 10-K, 10-Q, N-23C-2, N-CEN, N-CSR, N-PX, and 24f-2, on a quarterly, semi-annual, and annual basis for distribution to advisors and the SEC.
- Prepare, validate, and support client account reporting, including financial statements, audit deliverables, accruals, and tax packages at the fund, portfolio company, and investor levels, in accordance with service level agreements.
- Support planning and review of financial, board, regulatory, and status reporting to ensure accuracy and compliance with SEC and IRS requirements.
- Maintain and prepare periodic fund reports on a daily, weekly, and monthly cadence.
- Compile and review quarterly reporting materials for Board Members.
- Review, approve, and distribute internal reports and fund performance information as needed.
- Provide workflow training to the Financial Administration team.
- Perform expense analyses, including management and 12b-1 fees.
- Monitor fund performance using Confluence and address related inquiries.
- Assist with fund budgeting and financial planning.
- Calculate monthly management fees and obtain appropriate approvals.
- Coordinate and oversee annual audits with outside auditors, clients, and printers.
- Ensure financial results and disclosures in SEC filings are accurate and compliant with applicable accounting standards.
- Prepare financial statement production schedules to support timely reporting and audit cycles.
- Monitor SEC filing deadlines to support ongoing compliance.
- Manage department associates, including hiring, training, and developing associates; delegating assignments; writing and conducting performance appraisals; making salary recommendations; coaching and counseling; and administering corrective actions.
- Conduct regular one-on-one and team meetings
- Establish team and individual goals for the department and hold associates accountable.
- Assist with management of client company relationships to ensure timely request resolution and high-quality customer service.
- Serve as an escalation point for escalated issues and complex problems, resolving where appropriate.
- Maintain regular contact with clients, auditors, and third-party vendors regarding fund performance questions, reporting, audits, and related items.
- Maintain regular contact with management to complete and clarify special projects.
- Provide daily coordination with the Financial Administration team regarding fund financial statements, reporting, and compliance.
Requirements
- Bachelor’s degree in accounting, finance, economics, business, or related field.
- 4 years of experience in fund accounting or fund administration.
- Management or leadership experience.
- Experience working within the financial services industry.
- Experience preparing financial statements related to mutual funds.
- Equivalent education and experience will be considered.
