Job Description
Support UCLA School of Dentistry Sales and Service operations by combining administrative coordination with program finance and Continuing Education course support.
Responsibilities
- Provide administrative and financial support for UCLA School of Dentistry Sales and Service activities, including Continuing Education (CE) and Extension programs.
- Manage financial operations for Sales and Service programs, including preparation and maintenance of UCLA Sales and Service Rate Worksheets.
- Coordinate required approvals related to Sales and Service program finances.
- Collaborate with campus accounting on markup and overhead requirements.
- Monitor revenue and expenses for Sales and Service programs.
- Reconcile and report on Sales and Service program financial activity.
- Conduct financial analysis for Sales and Service programs.
- Coordinate CE course registration and participant services.
- Coordinate CE course preparation and logistics.
- Maintain CE course records, materials, and supplies.
- Communicate with enrollees, faculty, instructors, vendors, and staff to support CE course operations.
Requirements
- Demonstrated ability to manage administrative and financial responsibilities simultaneously, prioritize competing assignments, and meet established deadlines.
- Strong organizational, analytical, and problem-solving skills with attention to detail, accuracy, and sound judgment.
- Demonstrated mathematical, accounting, and budgeting skills to review revenue and expenses, perform reconciliations, identify discrepancies, and analyze financial activity.
- Proficiency with Microsoft Office, particularly Excel, for financial analysis, reconciliation, reporting, tracking, and data management.
- Demonstrated ability to learn, interpret, and apply policies, procedures, guidelines, and financial requirements.
- Strong written, verbal, and interpersonal communication skills to communicate professionally with faculty, staff, participants, vendors, and University administrative offices.
- Demonstrated customer service skills, including tactful responses to inquiries and support for registration and payment issues.
- Ability to work independently, maintain accurate records, perform detailed data entry and financial transactions, and handle confidential or sensitive information with discretion.
- Ability to manage multiple projects and assignments concurrently and work occasional evenings and/or weekends to support CE courses.
Preferred Qualifications
- Knowledge of UCLA or University of California financial policies, accounting practices, administrative procedures, and Continuing Education program operations.
- Experience with UCLA financial systems and reporting tools, including University ledger reconciliation and preparation of financial reports.
- Experience administering Sales and Service activities and rate calculations, including the UCLA Sales and Service Rate Worksheet (rate development, markup, overhead, and approval requirements) in an academic, higher education, healthcare, or similarly complex environment.

- Bachelor’s degree in business administration, accounting, finance, public administration, or a related field and/or equivalent combination of education and experience.

Location: Los Angeles, CA (onsite). Compensation: USD 34–52 per hour.
