Job Description
Assistant Manager, Financial Administration role focused on complex fund reporting, SEC compliance, treasury reporting, and team leadership for retail alternative products.
Responsibilities
- Prepare complex fund financial statements for quarterly, semi-annual, and annual distribution to advisors and the SEC, including Forms 10-K, 10-Q, N-23C-2, N-CEN, N-CSR, N-PX, and 24f-2.
- Prepare, validate, and support client account reporting across fund, portfolio company, and investor levels, including financial statements, audit deliverables, accruals, and tax packages in line with service level agreements.
- Support planning and review of financial, board, regulatory, and status reporting to maintain accuracy and compliance with SEC and IRS requirements.
- Maintain and produce periodic fund reporting (daily, weekly, monthly).
- Compile and review quarterly reporting materials for Board Members.
- Review, approve, and distribute internal reports and fund performance information as needed.
- Train the Financial Administration team on workflow processes.
- Prepare expense analyses, including management and 12b-1 fees.
- Monitor fund performance using Confluence and respond to related inquiries.
- Assist with fund budgeting and financial planning.
- Calculate monthly management fees and obtain required approvals.
- Coordinate and oversee annual audits with outside auditors, clients, and printers.
- Ensure financial results and disclosures in SEC filings are accurate and compliant with applicable accounting standards.
- Prepare financial statement production schedules to support timely reporting and audit cycles.
- Monitor SEC filing deadlines to ensure compliance.
- Manage associates in the department, including hiring, training, development, delegation of work, writing and conducting performance appraisals, salary recommendations, coaching and counseling, and administering corrective actions.
- Conduct regular one-on-one and team meetings with associates to discuss new procedures, problems, and issues.
- Establish team and individual goals for the department and hold associates accountable for their work.
- Assist in managing relationships with client companies to ensure timely resolution of requests and high quality customer service.
- Act as an escalation point for complex issues and resolve matters where appropriate to provide effective support.
- Maintain regular contact with clients, auditors, and third-party vendors regarding fund performance questions, reporting, and audits.
- Maintain regular contact with management to complete and clarify special projects.
- Provide daily contact with the Financial Administration team regarding fund financial statements, reports, and compliance.
Requirements
- Bachelor’s degree in accounting, finance, economics, business, or a related field.
- 4+ years of experience in fund accounting or fund administration.
- Management or leadership experience.
- Experience working within the financial services industry.
- Experience preparing mutual fund financial statements.
- Equivalent education and experience will be considered.
