Finance Coordinator
Job Description
Sandpoint Waldorf School is hiring a part-time Finance Coordinator to help run the school’s day-to-day financial operations in a hybrid setup in Sandpoint, ID 83864. This role is centered on strong ownership of payroll and billing processes, along with clear monthly reporting built in QuickBooks Online so school leadership and governance stakeholders can make informed decisions.
Working with a focus on accuracy, investigation, and financial clarity, you will manage core finance workflows and translate monthly results into practical insight for the Finance Committee and Board. The position is part time, with an hourly pay range of USD 28–35.
Key Responsibilities
- Own the monthly payroll process, including timecards, payroll review, federal and state reporting, employee deductions, benefits, retirement contributions, child-support payments, and other payroll liabilities.
- Manage tuition billing and accounts receivable.
- Review and approve payables.
- Oversee deposits and day-to-day cash needs.
- Help build the annual budget.
- Coordinate tuition assistance.
- Review monthly financial results.
- Work extensively in QuickBooks Online to support reporting and reconciliations.
- Read and explain a Profit & Loss statement, Balance Sheet, and budget-to-actual report.
- Translate financial data into useful information for school leadership, the Finance Committee, and the Board.
- Investigate account balances and identify discrepancies by determining what is happening and why.
Required Skills & Experience
- Advanced proficiency with QuickBooks Online.
- Hands-on payroll processing experience, not limited to submitting timecards to others.
- Understanding of federal and state payroll filings and deadlines.
- Knowledge of how benefits, deductions, garnishments, and child-support withholding should flow through payroll and the general ledger.
- Comfort with debits, credits, payroll liabilities, and Balance Sheet accounts.
- Ability to read financial statements and recognize when information does not look right.
- Strong proficiency in Excel or Google Sheets.
- Organization and follow-through to prevent missed deadlines.
- Comfort communicating professionally to request missing receipts, documentation, or payments.
- Commitment to maintaining confidentiality for sensitive financial information.
- Preference for investigating discrepancies rather than dismissing them.
- Experience and demonstrated ability are valued more than having letters after your name.
