Job Description
Join Tenax Enterprises LLC as an onsite Financial Operations Controller in Cullman, Alabama. This role centers on building and owning the financial infrastructure across multiple entities, advancing through a phased framework that emphasizes cost recovery and tax strategy as the portfolio scales. It combines hands-on cash management, robust financial reporting, and scalable process design, with a clear path to increased impact and performance-based rewards as the framework matures.
Responsibilities
- Phase 1 — Build the Framework: establish clean books, consistent reporting, documented processes, and a support team.
- Own daily and weekly cash positions across multiple operating accounts and entities, including cash sweeps and inter-entity transfers; maintain organized cash positioning.
- Produce a weekly cash report for ownership and flag risks before they become problems.
- Support budgeting, forecasting, and short-term cash planning.
- Own the monthly close cycle across all entities; target close by day 10.
- Maintain audit-ready, lender-ready financials with clean reconciliations.
- Manage QuickBooks across multiple entities with a standardized chart of accounts.
- Track owner draws, inter-entity transfers, and ensure clean entity separation.
- Prepare 1099s, manage W-9 collection, and maintain contractor documentation.
- Maintain and evolve the master Actuals reporting sheet — a property-level monthly operating report tracking rent, mortgage, insurance, taxes, utilities, management, maintenance, and cash flow for every unit across all entities; monthly updates and targeted analyses required as the portfolio expands.
- Own job costing for rehab, flips, and new construction projects.
- Maintain budget-to-actual reporting at the property level; flag overruns in real time.
- Collect and verify lien waivers from subcontractors on construction draws.
- Build the data infrastructure that lets ownership see project margin in real time; collaborate with construction leadership on cost capture and allocation.
- Oversee AP: vendor onboarding, invoicing, payment scheduling, and dispute resolution.
- Oversee AR: invoicing, collections, aging reports; coordinate with property management on tenant ledgers.
- Run payroll across multiple entities (under 40 employees total) on a consistent cycle; manage payroll taxes, W-2s, garnishments, and new-hire reporting.
- Maintain employee records, time-tracking integration, and payroll system hygiene.
- Maintain strong vendor and banking relationships; serve as the point of contact with banks and lenders for documentation and reporting.
- Prepare financing packages for refinances, acquisitions, and new construction loans; track loan maturities, renewal deadlines, and covenant requirements.
- Maintain organized digital loan files for active facilities; stay hands-on with transaction tracking while building scalable processes.
- Develop and train support staff on the processes you build; keep them current on upcoming projects, financing events, vendor changes, and reporting deadlines.
- Build documented SOPs to ensure continuity and knowledge retention beyond individual contributors.
- Develop the team’s skills as workload grows, delegating progressively as systems mature.
- Track insurance certificates and renewals across the portfolio; maintain the property tax calendar and payment schedule; uphold entity compliance calendars.
- Phase 2 — Scale the Impact: once the framework operates cleanly, shift toward work that drives real bottom-line impact, with performance-based compensation.
- Cost Recovery & Tax Strategy: actively identify direct cost savings, coordinate cost segregation studies, capture tax credits and rebates, pursue utility rebates and grants, research eligible programs, and coordinate property tax appeals; maintain a documented savings pipeline with realized results.
Requirements
- Minimum 2+ years in accounting, finance, or controllership; multi-entity experience strongly preferred.
- Strong QuickBooks proficiency (Online or Desktop) and advanced Excel skills.
- Hands-on payroll experience across one or more entities, including tax filings and year-end processing (W-2/1099).
- Experience with job costing or construction accounting (CFMA, AIA billing, or similar).
- Ability to communicate clearly and professionally with lenders, attorneys, and vendors.
- Willingness to acknowledge what you need to verify and then complete the work to resolve it.
- Track record of building systems, not just operating within existing ones.
- Technology: QuickBooks and Excel.
Compensation & Path
The role unfolds in two phases. Phase 1 focuses on building the framework and is salary-driven; Phase 2 adds meaningful performance-based compensation tied to cost recovery and tax optimization outcomes as the portfolio grows.
Base salary starts at $4,000 per month ($48,000 annually) during a 90-day probationary period. Upon successful completion of the 90-day review, base pay moves to $5,000 per month ($60,000 annually). A Phase 2 performance bonus, aligned to documented cost savings, tax recoveries, rebates, and grant captures, is introduced after Phase 1 deliverables are established. The role includes 12-month and 24-month compensation reviews, with substantial scope and compensation growth available as the portfolio scales.
