Assistant Director, Finance & Administration
Job Description
Lead finance and operations for a department in an onsite San Antonio role, partnering across central support and institutional offices. This position supports strategic execution across budgeting, contract management, research and clinical revenue cycle operations, space and IT oversight, and key human resource functions, with the goal of strengthening departmental performance and outcomes at UT Health Science Center at San Antonio.
What you’ll do
- Oversee the development and execution of clinical, research, educational, and administrative strategic planning initiatives, ensuring alignment with LSOM and institutional priorities.
- Serve as the central point of contact for business and administrative functions for the department, partnering with institutional offices and Central Support Centers across financial operations, clinical revenue cycle monitoring, staff management, faculty administration, legal and regulatory issues, contract management, internal and external audits, procurement, space management, grant management, and information technology.
- Collaborate with departmental leaders to assess productivity and efficiency, supporting improvements to departmental workflow, lab or program operations, and faculty productivity.
- Direct and manage the department’s all-funds budget, including financial planning for strategic initiatives, and prepare operational and financial reports and analyses covering progress, adverse trends, and recommendations.
- Oversee contract management end to end, including negotiations, deliverables, invoicing, accounts receivable, reporting, and operational support.
- Manage staff-related issues and transactions, including personnel transactions and justifications; set or adjust rates of pay and hours of work; and oversee onboarding, training, access, scheduling, and culture integration.
- Lead academic and clinical personnel development and retention through motivation and mentoring, and manage complaints, grievances, and discipline when necessary.
- Act as the point of contact for faculty business and administrative processes, supporting promotion and tenure processes and assisting in faculty compensation plans, assignments, and deployment.
- Develop, present, and maintain faculty productivity and efficiency reports across all missions, including onboarding procedures such as credentialing, privilege payer enrollment, access, schedules, and culture integration.
- Provide administrative direction for current and long-range policies, procedures, and programs, including interpretation and administration.
- Oversee non-salary transactions and capital expenditures in accordance with procurement policies and procedures, including tracking LSOM and institutional commitments to the department and reporting on deliverables and invoicing.
- Oversee clinical revenue cycle functions to optimize charge capture, reduce coding errors, address initial denials, and manage controllable write-offs.
- Provide administrative leadership with Research Administration Services Center for extramural research processes, including clinical trials, grant submissions, and post-award activities.
- Serve as the point of contact for principal investigators’ business and administrative needs, and oversee department space utilization, including assignment, efficiency, maintenance, and coordination of renovations.
- Perform other duties as assigned.
What you bring
- Education: Bachelor’s degree in Healthcare Administration, Business Administration, Finance, or a directly related field is required.
- Experience: Five (5) years of accounting or related business experience, including three (3) years of supervisory experience.
