Job Description

Historic Richmond Foundation, a longtime nonprofit based in Richmond, Virginia, is seeking a Part-time Director of Finance to serve as the strategic financial partner to the Executive Director and the Board. Recruited through Warren Whitney, this onsite role oversees the organization’s accounting, reporting, budgeting, and financial planning to sustain strong fiscal health while advancing the mission. The position balances hands-on financial management with collaborative leadership across staff and volunteers.

Responsibilities

  • Ensure accurate, timely, and compliant financial management for Historic Richmond.
  • Prepare monthly financial statements (receipts and expenses, key asset and liability accounts) with clear variance explanations.
  • Generate interim internal reports comparing actual performance to budget and prior-year results.
  • Maintain sound internal controls, segregation of duties, and supporting documentation.
  • Prepare year-end journal entries, reconcile accounts, and support annual closeout procedures.
  • Reconcile bank, investment, and electronic payment accounts; verify deposit logs against bank deposits and development records monthly.
  • Input investment activity and produce monthly investment tracking reports.
  • Provide cash flow, project reports, and other financial analyses requested by leadership.
  • Review payroll reports and post payroll journal entries; coordinate with the Executive Director on timesheets and payroll-related records; serve as payroll backup as needed.
  • Support year-end payroll processes, including W-2 and Form 1099 generation.
  • Assist with staff onboarding and offboarding regarding benefits utilization.
  • Lead development of the annual budget with staff, the Executive Director, Executive Committee, and Finance Committee, and input the approved budget into the accounting system.
  • Prepare monthly variance analyses with narrative explanations to support management decisions.
  • Provide financial modeling and projections to support strategic initiatives and grant- or project-based work.
  • Prepare financial packets for Finance Committee and Board meetings and participate as a key financial resource.
  • Coordinate the annual audit and preparation of annual financial statements, IRS Form 990, and assist with Virginia Form 102 filings.
  • Prepare quarterly sales tax reports and assist with renewing the organization’s sales tax exemption.
  • Support financial oversight for the Council of Historic Richmond and related auxiliary groups, including reconciliations with treasurers.
  • Maintain secure financial records, backups, and confidentiality of accounting and payroll information.
  • Recommend improvements to accounting procedures, reporting practices, onboarding support, and cybersecurity awareness as needs evolve.
  • Collaborate with staff to align financial practices with Historic Richmond’s mission, priorities, and program work.

Requirements

  • Bachelor’s degree in accounting, finance, business, or a related field.
  • Minimum of five years of accounting and financial management experience, preferably in a nonprofit setting.
  • Experience preparing financial statements, reconciliations, budget materials, and board-facing financial reports.
  • Knowledge of nonprofit accounting principles, monthly closing processes, and financial statement preparation.
  • Knowledge of internal controls, reconciliation practices, segregation of duties, and fraud risk mitigation.
  • Experience with QuickBooks or similar accounting systems in desktop and cloud environments.
  • Familiarity with payroll processing workflows and related reporting requirements.
  • Experience coordinating with external auditors, payroll providers, and tax or regulatory filings; CPA or related certification preferred.
  • Ability to work a flexible part-time schedule and to attend scheduled Board, Finance Committee, and staff meetings.
  • Strong interpersonal skills and the ability to communicate clearly with the Executive Director, staff, outside accountants, auditors, and volunteer leadership.
  • Strong problem-solving abilities, sound judgment, and capacity to provide timely, accurate analyses.
  • High integrity and dependability with a results-oriented mindset.
  • Knowledge of GAAP reporting, financial regulations, and applicable tax requirements.
  • Ability to plan, organize, and manage multiple tasks while meeting strict deadlines.

Position Structure and Compensation

Location: Historic Richmond office in Richmond, Virginia.

Employment Classification: Exempt/Hourly or Independent Contractor.

Employment Status: Part-time contract; approximately 20 hours per week with flexible hours based on workload.

Compensation: Hourly or part-time salary commensurate with qualifications and experience.

Special Conditions: Flexible schedule required to accommodate monthly close, quarterly filings, audit preparation, and Board and Finance Committee meetings.
