Job Description
The Finance Controller role at Tribal EcoRestoration Alliance in Lakeport, CA offers remote options and a focus on overseeing financial operations, records, and regulatory reporting.
Responsibilities
- Direct the Financial Data Specialist to maintain precise, timely GAAP-compliant financial records across all activities.
- Monitor daily cash balances and transfer schedules; follow the Board's cash management procedures, coordinate banking setups, and oversee investment monitoring.
- Perform monthly review and management of accounts in the accounting system, input data, reconcile, and resolve discrepancies in RAMP and Stripe integrations and related app issues.
- Ensure accuracy in RAMP and QuickBooks Online, including monthly review and completion of credit card expenses with the appropriate staff.
- Lead cost allocations for the full funding portfolio, calculate fringe rates for the fiscal year, and support budgeting within the accounting system.
- Coordinate with the CPA consultant on monthly grant allocations, month-end close, reconciliations, and audit support.
- Supervise the Financial Data Specialist and ensure quality control for bi-monthly payroll processes, payroll tax filings, and coordinate with the Administrative Director to resolve payroll and deduction discrepancies.
- Support the Finance Data Specialist to meet strict monthly invoicing deadlines to grantors and clients.
- Conduct quality control of monthly invoices to ensure 100 percent accuracy for reimbursable grants.
- Oversee accounts receivable and collaborate with project managers to collect past-due invoices promptly.
- Lead a collaborative monthly review of data for correct codes and projects, ensuring timely quality control for reimbursable grant invoicing.
- Authorize credit cards per policy, handle limit-increase requests, RAMP workflows, and staff app support.
- Receive mail, secure and deposit checks, reconcile transaction lists, and maintain a real-time AR/AP dashboard for leadership.
- Issue and manage paper checks as needed.
- Stay current on federal and state grant administration regulations and audits; support grant management staff to maintain compliance for federally funded projects.
- Collaborate with the Administrative Director and Executive Director to provide senior financial oversight.
- Assist in developing robust fiscal policies and procedures with the Administrative Director.
- Lead exploration of payroll or fund accounting system transitions with support from the Administrative Director.
- Train staff on new processes, finance best practices, internal controls, and financial management.
- Prepare and present financial statements and reports for the Executive Director, Board of Directors, funders, and program staff.
- Coordinate annual financial audits and regulatory reporting.
- Support compliance with federal financial regulations (2 CFR Part 200) and provide updates on regulatory requirements affecting accounting, procurement, and financial management.
- Oversee SIMPLE IRA retirement plan administration, including onboarding training and staff reporting.
- Manage annual financial audit and coordinate 990 tax filing submissions.
- Oversee 1099 and W-2 tax reporting and coordinate communications with staff and other parties.
- Conduct annual workers' compensation audit.
- Acquire and manage organizational insurance policies including general liability, directors and officers insurance, workers' comp, and other needed coverages.
- Review active contracts to guide invoicing and auditing requirements; review draft finance department contracts.
- Onboard new staff in QuickBooks Online and QuickBooks Time; troubleshoot access issues as needed.
Requirements
- 2 to 4 year degree in Accounting, Business, Finance, or a related field, or relevant work experience.
- 4+ years of government grant management experience.
- 4+ years of experience supervising a finance team.
- 6+ years in nonprofit finance management or an equivalent blend of education, training, and experience.
- Solid knowledge of GAAP principles.
- Proficiency with QuickBooks, with certification or eligibility for certification preferred.
- Strong MS Excel skills (formulas, data handling) and familiarity with Google Workspace.
- Excellent relationship-building abilities with a diverse team and external partners.
- Self-motivated, organized, and capable of prioritizing multiple projects and meeting deadlines.
- Good judgment under pressure and ability to manage competing demands.
- Clear written and verbal communication for effective collaboration.
- Ability to manage and disseminate information accurately and efficiently.

Fundamentals
- Reports to: Administrative Director
- Supervises: Financial Data Specialist
- Location: Flexible working arrangement (in person, hybrid, or remote); travel to Upper Lake for at least one week per quarter (4 weeks per year).
- Time commitment: 40 hours per week preferred; may be reduced to 32 hours per week if selected candidate desires.
- Compensation: Hourly, non-exempt; pay range is $38.00 - $44.00 per hour, equating to roughly $79,040 - $91,520 annually for full-time at 40 hours/week.
