Financial Controller
Job Description
Biermann Plumbing & Heating, Inc. is hiring a hands-on Financial Controller to lead financial administration and keep the office running smoothly. This full-time, in-person role in West Springfield, MA partners closely with the administrative team, supports accurate day-to-day operations, and provides clear reporting to ownership.
You will bring strong accounting fundamentals, practical office leadership, and dependable follow-through to review core financial activity, oversee cash flow and reporting, and coordinate with outside providers including an accountant, payroll, insurance companies, and banking partners. The position also includes payroll support and HR documentation oversight, with the goal of reducing errors through well-defined procedures and checklists.
Key Responsibilities
- Supervise the bookkeeper, office manager, and other administrative personnel.
- Assign responsibilities, set deadlines, follow up on incomplete work, and ensure accountability.
- Oversee daily office workflow, including phones, customer communication, filing, job documentation, purchasing paperwork, vendor communication, and administrative follow-up.
- Review accounts payable, accounts receivable, invoicing, customer payments, collections, vendor statements, bank reconciliations, and credit-card transactions.
- Monitor cash flow, unpaid invoices, vendor obligations, and financial accuracy.
- Review QuickBooks records and prepare clear reports for ownership, including profit and loss, AP aging, AR aging, cash flow, and job-cost information.
- Oversee payroll preparation, timekeeping, employee deductions, and expense reimbursements.
- Coordinate with the outside accountant, payroll provider, insurance companies, bank, bonding company, and vendors.
- Support job costing, change orders, project billing, lien waivers, certificates of insurance, permits, and office documentation.
- Oversee employee onboarding, personnel files, benefits administration, policy acknowledgments, and general HR documentation.
- Develop written procedures, checklists, and systems to reduce errors and keep the office organized.
- Protect confidential financial, customer, and employee information.
Requirements
- College degree in accounting.
- At least 3 years of experience; 3–5 years in a senior office, accounting, controller, operations, or business-management role.
- Experience supervising office staff, bookkeepers, AP/AR employees, or administrative teams.
- Strong experience with QuickBooks, AIA, Microsoft Excel, Outlook, Word, and processes including AP, AR, invoicing, collections, payroll support, and bank reconciliations.
- Construction, plumbing, HVAC, mechanical, electrical, or service-company office experience is strongly preferred.
- Ability to work independently, enforce procedures professionally, organize priorities, and follow through.
- Strong attention to detail, communication skills, confidentiality, and dependable attendance.
- Full-time, in-person availability in West Springfield, Massachusetts.
