Product Manager, Admissions and Finance Systems
Job Description
Own the Admissions and Finance technology that powers the resident journey from application through payment at International House at UC Berkeley.
Responsibilities
- Build, configure, and test the annual admissions application in StarRez for each cycle, aligned to an offer calendar deadline, then hand off to the Director of Admissions and Financial Aid for sign-off.
- Manage day-to-day StarRez administration and troubleshooting, including terms, rates, room and rate assignment, booking statuses, and underlying business rules.
- Maintain the integrity of booking and contract records, resolving reporting issues in the reporting rather than deleting records.
- Support move-in and move-out cycles, including the access, card, and data steps required in the correct order.
- Own accounting automations for late fees and charges, payment schedules, and generation of the resident statement of account.
- Own payment integrations and routing, including Stripe and TouchNet, as well as webhook and signing key configuration required by each provider.
- Ensure the resident portal’s account summary reflects the ledger, including awards and scholarships split across terms.
- Partner with Accounting on reconciliation, deferred revenue, and accounts receivable tie-out so systems produce what auditors request.
- Own the data flow between StarRez and operational platforms: Atrium (meal plans and account balances), Verkada (access and resident photos), Adobe Sign (contracts), and WhenToWork (student worker scheduling and access).
- Build and maintain Power Automate flows supporting admissions, finance, and housing operations; ensure each flow is documented and monitored.
- Diagnose and resolve integration failures; when failures repeat, change the process rather than repeating the fix.
- Own the Power BI data models and reporting infrastructure for admissions, occupancy, revenue, and resident satisfaction.
- Own the survey and satisfaction pipeline, including Qualtrics extract and the load feeding weekly reporting.
- Ensure each report has a defined owner, a monitored refresh, and a shared definition that teams agree on.
- Document systems, processes, and business rules to a standard that enables someone else to run the cycle in your absence.
- Export and maintain shared repository artifacts including code, workflow configurations, integration logic, database schemas, and related components.
- Maintain an accurate record of which system owns which decision and where each responsibility sits during your unavailability.

Requirements
- 3+ years of experience owning a business system or product end to end, or an equivalent combination of education and experience.
- Proven experience configuring and administering a complex operational platform, ideally a student housing, CRM, ERP, or billing system.
- Strong applied data skills: query databases, reason about schemas, and build trusted reporting.
- Experience building automation using tools such as Power Automate, APIs, or comparable toolsets.
- Understanding of billing concepts including charges, payment schedules, statements, refunds, and reconciliation.
- Ability to meet a fixed calendar deadline for builds other teams depend on.
- Clear written communication and strong documentation habits.

Working Conditions

Preferred Qualifications
- Direct StarRez experience, especially the annual application build.
- Experience with Stripe, TouchNet, or comparable payment platforms and their webhook and reconciliation models.
- Experience with Power BI data modelling.
- Experience in higher education, student housing, or a non-profit finance environment.
- Familiarity with Atrium, Verkada, Adobe Sign, Blackbaud, or Qualtrics.
Success Looks Like
- The application cycle is built, tested, and signed off ahead of the offer calendar each cycle.
- Charges, late fees, and statements are correct without manual checking, and residents see matching numbers.
- Reporting stays current, has clear ownership, and monitored processes detect stopped data loads before leadership escalation.
- The systems you own can be operated by someone else while you are on leave.
Compensation and Benefits
- Pay range: $85,000 - $90,000 annualized.
- Pay is commensurate with experience and qualifications.
