Job Description
Community School of Music and Arts is hiring an experienced finance and student services leader to drive day-to-day financial operations and student service execution onsite in Mountain View, CA.
Responsibilities
- Supervise day-to-day accounting, including fund accounting, general ledger, accounts payable/receivable, and cash flow management
- Own and support month-end closing, including preparation of reports and statements aligned with internal and external reporting requirements
- Review monthly results and implement monthly variance reporting
- Develop and implement finance policies and procedures to support efficiency, accuracy, and financial integrity
- Mentor and supervise two finance staff members, including training, guidance, and performance evaluation
- Partner with program managers/directors and other departments to provide financial insights and support proper grant and contract management
- Serve as the primary contact for financial institutions and insurance brokers
- Lead the annual budgeting cycle, directing the end-to-end process for master operational budgets, revenues/income, spending plans, and forecasts
- Work with program managers to evaluate program cost drivers and establish optimized pricing structures and strategies
- Provide primary staff support for the Finance Committee
- Assist the Executive Director and Finance Committee with financial reporting and financial forecasting
- Attend Board meetings quarterly to present finance reports
- Ensure compliance with internal financial and accounting policies and procedures
- Ensure statutory and tax requirements are met, including Charitable Status
- Act as the main point of contact for the annual financial and nonfinancial audit, including gathering supporting information and coordinating with the Executive Director and auditors
- Maintain program-level financial records to enable monthly program reporting
- Ensure accurate and timely financial reporting per contract agreements with funders and partners
- Oversee and supervise Student Services Staff and the Registrar
- Oversee the program enrollment process, ensuring payments and recordkeeping comply with federal and state regulations
- Ensure Student Services and Registrar deliver responsive, high-quality support for student needs
- Oversee student tuition Financial Aid program administration
- Oversee implementation of a new registration system for student services and finance
- Coordinate with HR and a third-party payroll provider for bi-weekly payroll processing
- Maintain strict compliance for payroll taxes, statutory deductions, 403B retirement, and accurate labor cost allocations across departments/programs
Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field; MBA preferred
- CPA (Required)
- Professional certifications (CPA, CMA) or equivalent certification
- Strong understanding of GAAP and nonprofit tax compliance
- 10 years of significant financial and accounting experience, including 5+ years in nonprofit finance and operations leadership
- At least 5 years supervisory experience
- Direct experience with full-cycle nonprofit financial management: budgeting, reporting, annual audits, and payroll processing
- Experience with complex programmatic costing, budgeting, and cost allocation
- Senior management experience is preferred
- Proficiency with QuickBooks, ADP Workforce Now, Google, and Microsoft Office suite
- Fundamental knowledge of information technology systems
- Superior organization and ability to multi-task
- Excellent communication and collaboration skills; ability to present effectively to senior management, the Board of Directors, and external parties verbally and in writing
- Physical requirements: regularly required to talk, hear, walk, stand, bend, kneel, and crouch
- Ability to lift and/or move up to 10 pounds and occasionally up to 25 pounds
- Ability to work extended periods at a computer with close and distant vision and the ability to adjust focus

Schedule
- Monday to Friday with occasional evening/weekend work to support community events
- First 6 months: minimum 3 days on site
