Job Description
Mission Increase is hiring a Finance Administration Manager to support day-to-day financial operations and strengthen organizational readiness across accounting, payroll, vendor administration, and office management. This is a mission-critical role in Tigard, Oregon (hybrid), with an in-person Portland area preference and remote consideration for the right fit. The role partners closely with the CFO to protect financial integrity and improve efficiency by leveraging AI tools across financial processes and workflows.
Role overview
- Lead core accounting operations, payroll and benefits administration, and administrative coordination that keeps the organization running smoothly.
- Ensure timely, accurate financial records and reporting, including month-end close deliverables.
- Oversee invoicing, cash management, and supplier payment workflows, including cash and funded status monitoring.
- Serve as a subject matter expert for employee benefits plans and support employee inquiries and accurate transaction processing.
- Support compliance and external reporting needs, including contributions toward Form 990 and Form 990PF filings with an outside accountant.
- Use AI tools to improve efficiency in financial processes and champion AI adoption across the team.
Key responsibilities
- Ensure accuracy of accounting transactions and internal financial reporting.
- Maintain accounting software, ensuring it is up to date and used efficiently.
- Manage the monthly close process by coordinating with budget owners and issuing monthly financial statements.
- Create invoices, communicate with customers on past-due balances, and provide updates to cost centers.
- Deposit and track all income, allocating it to the correct company and cost center.
- Pay supplier invoices on a timely basis; monitor cash levels, funded status reports, and forecast needs.
- Prepare 1099s accurately and on time, while maintaining current W9s on necessary vendors.
- Create budget templates for all cost centers.
- Monitor compliance with accounting policies and procedures.
- Identify opportunities to increase effectiveness and reduce costs.
- Administer payroll transactions through the payroll provider to ensure accurate and timely processing.
- Oversee employee benefits plan administration and process related transactions accurately.
- Manage monthly invoicing and cash management of single-funder communities.
- Utilize Virtuous to track donor pledges and ensure accurate records.
- Provide periodic financial reporting to support Area Director granting applications.
- Maintain positive working relationships with outside vendors, suppliers, banking partners, and business partners.
- Provide oversight and management of NCF accounts and funds.
- Coordinate with an outside IT vendor to manage technology requirements for staff and company hardware.
- Manage subscription services with various providers (Adobe, Zoom, etc.).
- Oversee day-to-day office management and administrative operations, including facility oversight to support a well-functioning workspace.
Requirements
- 5–10 years of progressive accounting experience.
- Extensive knowledge of QuickBooks Online and QuickBooks Desktop.
- Thorough knowledge of general accounting principles.
- Bachelor’s degree in Accounting, Finance, or related business field preferred; equivalent experience strongly considered.
- Exceptional analytical and problem-solving abilities.
- Highly organized, able to manage multiple projects with tight deadlines.
- Strong computer aptitude, including Excel and Word.
- Ability to develop and maintain strong client and vendor relationships.

Compensation and benefits
- Salary range: $70,000–$85,000 annually, based on experience.

Work arrangement and schedule
- Full-time role based in Portland, OR with in-office or hybrid expectations (Tigard, OR hybrid); remote will be considered for the right fit.
- Standard hours: Monday–Friday, 8am–5pm, with occasional flexibility to meet organizational needs.
- Must be available for scheduled virtual and in-person meetings.
- Requires extended periods of computer use and the ability to lift 40 pounds.
