Job Description

The Finance Director is responsible for guiding the community’s accounting, payroll, and overall financial management, supervising the accounting team, and upholding internal controls for Bertram House of Swampscott.

Location

Swampscott, MA – onsite

Compensation

Salary: USD 80,000 to 90,000 per year

Experience

Minimum of 7 years in accounting or bookkeeping

Responsibilities

  • Direct the community's accounting functions and team in alignment with federal, state, and local standards, Bertram House policies, and a commitment to high quality resident care and services.
  • Review inputs, maintain data integrity controls, coordinate processing with the Bertram House team, and analyze output reports.
  • Compile charges for ancillary services such as barber/beauty, guest meals, therapy, and medical supplies.
  • Manage and record daily census, base rate, and ancillary revenues in the General Ledger system.
  • Assume overall responsibility for timely billings and collections of accounts receivable.
  • Reconcile and control cash accounts for resident deposits and petty cash; ensure timely bank deposits and cash concentration; handle documentation, reconciliation, and reporting of 1099s.
  • Oversee month-end reconciliation to the general ledger and related reporting.
  • Monitor monthly key business controls and ensure their execution in accordance with Bertram House policy.
  • Ensure timely bank deposits.
  • Analyze and reconcile timekeeping hours to the payroll register for each pay period.
  • Take overall responsibility for the preparation of monthly balance sheet reconciliations in line with department policy.
  • Review P&L and pre-close trends to verify accuracy of the month-end close.
  • Present necessary financial schedules, reports, and reconciliations to support the Board of Trustees and external audits.
  • Record adjusting journal entries and closing entries as required.
  • Assist the Two Executive Directors with maintaining reports used to manage community revenues and costs.
  • Lead the budget process and oversee financial planning activities.
  • Review monthly financial statements and implement action plans to address deficiencies.
  • Manage the accounts payable system in accordance with policy; maintain departmental checkbooks and analyze accounts payable output reports.
  • Prepare accruals and reversals; correct and adjust journal entries as necessary.
  • Create and maintain team member personnel information in appropriate systems.
  • Ensure team members follow timekeeping policies when recording hours worked.
  • Process payroll and adhere to established business processes; submit accurate bi-weekly payroll on schedule.
  • Coordinate, maintain, and update team member benefits administration and serve as a resource for questions and resolutions.
  • Complete payroll reconciliation per internal controls.
  • Lead the team member onboarding and orientation process; maintain personnel files and binders per regulations and policy.
  • Partner with the leadership team to drive recruitment, conduct background screenings, license verifications, and other required checks per regulations and policy.
