Job Description

Newburgh Armory Unity Center is seeking a Finance Director to oversee financial operations from its Newburgh, NY location. This full-time, onsite role offers a salary range of $100,000 to $110,000 per year and the chance to lead accounting, reporting, and internal controls while supporting grant oversight and fundraising efforts. The position provides strategic financial guidance to leadership and collaborates across programs to strengthen budgeting and planning.

Responsibilities

  • Direct and supervise the general ledger within QuickBooks to ensure accuracy and consistency.
  • Evaluate and authorize invoices and accompanying financial documents.
  • Ensure correct coding and allocation of expenses and revenues in the chart of accounts.
  • Oversee entry of vendor invoices and, where needed, personally enter them.
  • Keep orderly, compliant accounting records.
  • Manage the entire accounts payable process from invoice approval to payment processing.
  • Prepare weekly AP checks and coordinate with authorized signatories.
  • Set up and manage recurring monthly AP and ACH payments.
  • Maintain vendor files with complete supporting documentation.
  • Review credit card statements and receipts.
  • Monitor internal control practices governing disbursements.
  • Reconcile accounts receivable invoices between EZ facility system and QuickBooks.
  • Investigate discrepancies and resolve variances.
  • Coordinate with program and faculty staff regarding outstanding invoices.
  • Oversee collections to ensure accurate recording of program revenues from activities such as soccer, volleyball, and rentals.
  • Prepare and reconcile cash, checks, and credit card deposits.
  • Oversee weekly bank deposits and liaise with the banking partner.
  • Conduct monthly reconciliations of bank and credit card accounts.
  • Monitor cash flow and report updates to leadership.
  • Maintain segregation of duties and robust internal controls around cash handling.
  • Oversee grant fiscal reporting.
  • Ensure timely voucher submissions and follow up on payments.
  • Work with program teams to communicate budgets and monitor expenditures.
  • Maintain grant files and supporting documentation for vouchers.
  • Review documents to ensure revenue and expense coding in QuickBooks supports grant reimbursements.
  • Partner with leadership to support fundraising efforts and donor reporting.
  • Track and reconcile fundraising revenue, restricted funds, and campaign activity.
  • Review wage reports and ensure accurate recording of wages and allocations in QuickBooks.
  • Prepare monthly financial statements.
  • Assist leadership with budget planning and financial forecasting.
  • Support the annual audit and Form 990 filings with the external CPA firm.
  • Develop and enhance financial processes and internal controls.

Requirements

  • Bachelor's degree in accounting, finance, or a related field.
  • 5+ years of accounting experience.
  • Solid understanding of GAAP and nonprofit accounting standards.
  • Experience in grant reporting and compliance requirements.
  • Proficiency with QuickBooks or comparable accounting software.
  • Experience with internal controls and account reconciliations.
  • Ability to manage multiple priorities and meet deadlines.

General purpose

The Finance Director is responsible for overseeing the organization’s financial operations, accounting functions, financial reporting, and internal controls. This role provides financial guidance to leadership while ensuring accurate and timely financial information, effective cash management, grant oversight and support for fundraising and organizational planning initiatives. The Finance Director collaborates across departments to support decision making and maintain the overall fiscal health of the organization.
