Staff Accountant | Personal Financial Administrator to the Founder

Job Description

Support the Founder and Chairman with full-charge accounting and hands-on personal and entity recordkeeping across multiple financial and administrative workstreams.

Responsibilities

  • Perform full-charge accounting across multiple personal and business entities, including AP/AR, bank and credit card reconciliations, journal entries, and month-end close (roughly half of the role)
  • Process and track transfers and disbursements across entities
  • Coordinate with banks and custodians regarding cash movement, reporting, and related administrative tasks
  • Prepare basic financial reports/statements for review by the Founder’s Accountant and the family office CFO
  • Maintain clean, audit-ready books and keep supporting documentation organized and current
  • Assist with information gathering for tax preparers and outside CPAs at year-end
  • Handle filing, document management, and recordkeeping for both personal and business/entity matters
  • Manage the Founder’s personal and business paperwork, including statements, contracts, entity documents, insurance, and tax records
  • Coordinate with external parties including banks, vendors, and outside advisors (attorneys, CPAs, insurance agents, etc.) on financial and administrative needs
  • Support the Founder’s dedicated Executive Assistant on tasks that intersect with accounting or entity recordkeeping
  • Provide general office support to keep entity files and financial recordkeeping organized
  • Serve as a trusted backup to the Founder’s Accountant and participate in cross-training over time so either person can cover essential functions
  • Adapt daily priorities based on what the Founder and the office needs that day, with no typical day

Requirements

  • 3+ years of full-charge bookkeeping or staff accountant experience
  • Multi-entity experience strongly preferred
  • Proficiency with accounting software
  • Strong Excel skills
  • Excellent organization and follow-through with minimal supervision, including with both paper and digital recordkeeping systems
  • Exceptional discretion, integrity, trustworthiness, and sound judgment when handling confidential personal, financial, and family information
  • Strong written and verbal communication skills

Preferred Qualifications

  • Prior experience in a family office, single-family entity, or personal accounting environment
  • Familiarity with real estate entity accounting (ownership structures, distributions, basic lease-related transactions)
  • Notary public certification (or willingness to obtain)
  • Calm, approachable demeanor with exceptional attention to detail
