Job Description
Vermont 211 seeks a senior financial leader to direct finance and administration from Montpelier, VT with a hybrid work option.
Responsibilities
- Act as the chief financial strategist and trusted adviser to the Executive Director and Board.
- Oversee annual budgeting, long-range financial planning, and scenario analyses aligned with the organization’s goals.
- Track actual versus budget, deliver forecasts, variance analyses, and dashboards for leadership and the Board.
- Identify financial risks and opportunities and advise on strategies for long-term sustainability.
- Produce and present financial reports and materials for the Board of Directors and Finance Committee.
- Support the development and rollout of financial and administrative policies.
- Provide clear, accessible financial information to the Board to support sound governance decisions.
- Oversee contracted bookkeeper and all accounting functions including AP/AR, payroll, general ledger, and month-end close.
- Deliver timely, accurate financial reporting in accordance with GAAP and nonprofit fund accounting standards.
- Maintain robust internal controls and documented financial policies and procedures.
- Oversee financial oversight and compliance for state contracts and private grants, tracking restricted and unrestricted funds.
- Prepare and review financial reports required by funders and government agencies; collaborate with program staff on grant budgets and financial planning.
- Oversee accounting for a fiscally sponsored project, ensuring transparency and sponsorship compliance.
- Assist grant proposal development by creating budget narratives and projections with program leadership.
- Coordinate the annual audit or review with external CPA firms and serve as the primary organizational liaison.
- Ensure timely filing of Form 990 and applicable state tax and compliance documents.
- Maintain compliance with state and federal contract and financial regulations.
- Oversee insurance, risk management, and business continuity planning.
- Administer payroll and benefits; act as the primary contact for payroll and benefits providers, ensuring multi-state compliance.
- Manage hiring and onboarding activities, including offers, paperwork, background checks, and system access for new hires.
- Keep HR records, policies, and the employee handbook in line with employment laws.
- Handle employee offboarding, including final pay, COBRA benefits, and system access removal.
- Serve as the HR compliance resource for policy interpretation and benefits inquiries.
- Oversee employer tax accounts across states where the organization has employees (withholding, unemployment, workers’ compensation).
- Supervise vendor contracts, procurement, and remote office operations with state-wide compliance.
- Process mail from the Montpelier PO Box weekly or as directed in consultation with the Executive Director.
- Perform other business and office administration tasks as assigned.
Requirements
- Bachelor’s degree in finance, accounting, business administration, or related field, or substantial nonprofit financial management experience including grants management and government contracts, or a combination thereof.
- Experience overseeing HR administration, benefits administration, payroll, and multi-state employer compliance is strongly preferred.
- Experience with nonprofit fund accounting software such as Sage Intacct, QuickBooks Nonprofit, or Blackbaud Financial Edge is strongly preferred.
- Experience coordinating an annual nonprofit audit is strongly preferred.
- Strong knowledge of GAAP, nonprofit fund accounting, and internal controls.
- Ability to prepare and interpret financial statements, dashboards, and grant reports.
- Effective communicator who can translate complex financial information for non-financial audiences including Board members and program staff.
- High integrity, discretion, and professional judgment.
- Organized, detail-oriented, and capable of managing multiple deadlines across finance and administrative functions.
- Collaborative with the ability to build strong relationships with staff, leadership, Board members, auditors, funders, and vendors.
- Proactive problem-solver who identifies opportunities to improve systems, workflows, and internal controls.
