Finance Manager
Job Description
The Finance Manager role at Florida Repertory Theatre supports the organization’s financial solvency by overseeing accounting processes, reporting, budgeting, controls, audits, and key financial relationships. This onsite position in Fort Myers, FL includes close coordination with internal leadership, board reporting, vendors, and external audit partners.
Key Responsibilities
- Prepare monthly financial statements ahead of each monthly finance committee meeting.
- Close the books each month and provide updates on financial activity to the Board of Directors.
- Develop and maintain an annual, paced budget for presentation to the Board of Directors.
- Maintain financial controls and act as the primary liaison with banks and related financial institutions.
- Ensure accuracy of accounting records within an accrual environment using QuickBooks Premier.
- Reconcile bank, credit card, and investment accounts monthly in preparation for monthly financial reporting.
- Collect monthly expense reports from staff and enter them as line items as needed to produce accurate financials.
- Maintain insurance coverage in good standing, including auto, property, GL, and officers’ liability.
- Review payables handled by the business manager to ensure timely and correct payments to vendors.
- Serve as primary administrator for accounts receivable and ensure proper accounting of all receivables.
- Regularly audit and reconcile A/R records in QuickBooks with records generated by the CRM or sales platform (Audience View).
- Provide requested spending reports for production, education, and marketing departments.
- Prepare financial data for the development team to support grant applications and grant disbursements.
- Modernize accounting systems, including conversion from paper-based processes to electronic systems, such as electronic receipt management.
- Enforce current and implement new checks and balances across accounting systems.
- Establish, maintain, and audit vendor credit accounts as needed or as requested by staff.
- Administer the annual financial audit, including providing records, logs, and documentation requested by auditors.
- Act as the primary liaison with auditors on all inquiries and maintain an ongoing relationship with the CPA audit firm year-round.
- Review, sign, submit, and administer royalty contracts.
- Generate weekly box office reports for all productions and submit them to rights holders along with royalty payments.
- Supervise the business manager, including oversight of primary AP and payroll administration, ensuring proper payments to staff and vendors.
- Verify and double-check payments and manage financial account oversight end-to-end.
- Manage bank accounts and cash flow to ensure sufficient funds across credit cards, bank accounts, credit lines, and investment accounts.
- Provide guidance and troubleshooting for financial questions and maintain knowledge of current financial and industry practices.
- Complete other duties as assigned.
Required Qualifications
- 3-5 years of bookkeeping experience.
- Knowledge of generally accepted accounting principles; non-profit accounting preferred but not required.
- Experience preparing monthly financials.
- QuickBooks experience is highly desirable.
- Ability to work in a team environment.
- Ability to manage multiple projects simultaneously with strong attention to detail.
- Bachelor’s Degree required.
- CPA not required, but desirable.

Compensation and Work Schedule
- Salary range: USD 58,000 - 63,000 per year
- Work schedule: 40+ hours/week, including performances and special events on evenings and weekends.
